Less time on paperwork, more with patients.
Dental, physiotherapy, chiropractic and veterinary clinics run on front-desk time: supplier invoices, inquiries, schedules and the month-end numbers. Third Shift builds automations for the business side of the clinic, around the clinic software you already use.
What piles up
The business side of the clinic
Patient care stays where it is. These are the jobs around it.
-
Supplier invoices
Equipment, supply and service invoices matched, posted and lined up for payment, with anything odd held for the office manager.
How invoice automation works -
New inquiries
Website inquiries get a quick reply with your booking link. Because people often mention symptoms, what gets logged, and where, is agreed with you first.
How lead follow-up works -
Staff schedules and timesheets
Schedules sent to the team, hours checked against them, and payroll prep ready for approval.
More on what else we build -
Supplies and reorders
Supply counts checked against your minimums, with a reorder list ready for whoever places the orders.
More on what else we build -
The monthly numbers
Revenue, supply costs and staffing costs from your accounting system, built overnight and checked against the source. Patient balances stay in your clinic software.
How automated reporting works -
Month-end checklists
The close steps run in order, each one logged, so month-end doesn’t depend on one person’s memory.
How process automation works
What stays with you
Patient privacy stays with you
-
Patient records
Patient records stay in your clinic software. An automation only touches what its job needs, and most of this work doesn’t need patient details at all.
-
Planned with your privacy officer
Anything that would handle patient information is planned with your privacy officer before it’s built.
-
Money
No money is paid or sent without a person signing off, unless you decide otherwise.
-
AI and your data
Where an AI model reads a document, we use business-grade services that don’t train on your data.
Who it’s for
A good fit if
- Your front desk spends evenings on paperwork.
- Supplier invoices are keyed in by hand.
- The monthly numbers take a day to put together.
- Month-end depends on one person.
Works with
What you already run
- QuickBooks
- Xero
- Sage
- Gmail
- Outlook
- Excel
- Google Sheets
Using something else? Ask. If you can log into it, there’s usually a way to connect it.
Questions
What owners ask
Do you work inside our clinic software?
Usually not. Most of what we’d automate is on the business side, around it. If a build needs the clinic software, we use what it allows, read-only wherever possible.
What about patient privacy?
Most of this work doesn’t need patient information. Anything that would is planned with you and your privacy officer first, and only goes ahead if it fits your clinic’s privacy policies.
What does a build cost?
Every build has a fixed price, written on the one-page plan before any work starts. You know the number before you commit.
